# 4 Steps to Build a Preventive Maintenance Plan for Your Commercial Facility

Every commercial facility has maintenance needs. The ones that plan for them spend less, experience fewer disruptions, and keep their buildings performing the way they should. The ones that don't spend more, deal with unexpected downtime, and replace systems before they are ready.

The difference is a plan.

## **Step 1: Understand Why Planning Matters**

Deferred maintenance compounds. Research shows it grows at roughly 7% per year. A small roof leak becomes a structural issue. A cracked parking lot becomes a liability. An aging HVAC unit runs inefficiently for years before it fails at the worst possible time.

Emergency repairs cost significantly more than planned ones. Reactive maintenance consistently runs 25 to 30% higher than preventive work, driven by emergency labor rates, after-hours surcharges, and rush parts. That gap adds up fast.

In the Midwest, climate-driven wear adds a layer of predictability to what breaks and when. Freeze-thaw cycles attack concrete, caulking, and building envelopes. UV exposure degrades roofing membranes. Winter loads stress gutters and drainage systems. These are not surprises. They are schedulable.

A maintenance plan accounts for all of that before it becomes a problem.

## **Step 2: Know What to Include**

A complete preventive maintenance plan covers the systems and surfaces most likely to wear, fail, or create liability if left unaddressed. For most commercial facilities, that includes:

**Roofing.** Annual inspections, minor repairs, and a clear timeline for replacement planning. Roofing failures are among the most disruptive and most preventable issues in commercial buildings.

**HVAC.** Service contracts, filter schedules, and a replacement timeline for aging equipment. Planned replacements allow for budget preparation and minimize operational downtime. Well-maintained systems run significantly more efficiently than neglected ones.

**Exterior and parking.** Crack sealing, sealcoating, caulking, and joint repairs on a regular cycle extend pavement and building envelope life significantly, particularly in climates with repeated freeze-thaw exposure.

**Electrical and plumbing.** Retrofits, upgrades, and utility rebate opportunities are easier to plan for than to react to. Electrical systems that go without attention become both a cost problem and a safety risk.

**Interior finishes.** Flooring, ceiling tile, wall systems, and doors take wear over time. Addressing them on a schedule prevents the deferred condition from compounding into a larger replacement.

## **Step 3: Build the Plan and Put It to Work**

A maintenance plan does not need to be complicated. It needs to be consistent.

Start by walking your facility and documenting the current condition of each system. Note what is functioning well, what is showing early wear, and what needs attention now. Assign a service interval to each item based on manufacturer recommendations, local climate, and system age.

Put it on a calendar. Assign ownership. Revisit it annually to account for what changed.

Research across commercial facilities has found that most of the service work is reactive. Facilities that shift that balance spend predictably. Facilities that don't spend reactively, and reactive spending is always more expensive.
